Aroha AI

The 7am caller is the one most likely to book.

Aroha is an AI receptionist for clinics. Aroha answers your phone, takes the reason for the visit, and books the right appointment. It books while the caller is on the line, texts the caller and the owner, and gets the owner for urgent jobs. You can talk to Priya at Meadow Dental, a demo receptionist for a made-up business, free in your browser.

A day of calls, answered.

7:52am, before the doors open: "A new patient has a throbbing molar, worse overnight."
Took the history, gave no clinical advice, booked the emergency slot at 10:40.
10:30am, every chair full: "A patient needs to move a hygiene appointment."
Moved it to next Tuesday and texted the new time, with a way to change it again.
1:15pm, lunch: "A parent asks whether you see children and what it costs."
Answered from your fee guide and booked both kids for the school holidays.
5:40pm, clinic closed: "An adult tooth was knocked out at rugby twenty minutes ago."
Gave your first aid script, texted the dentist EMERGENCY and passed on the reply.

It already knows how these calls go.

This is the setup you get on day one, and you can read and change every word of it.

Triages without diagnosing
Takes the history, applies your red flags, and says plainly it cannot advise.
Follows your escalation policy
Does not diagnose or promise a same-day appointment. Urgent requests follow the clinical team’s approved rules.
Handles ACC and referrals
Captures ACC status and referral source so paperwork is ready on arrival.
Cuts the no-shows
Confirmations, reminders and an easy reschedule that fills the gap.
Limits what it asks
Collect only the information needed for administration. Review consent, recording and privacy settings before use.
Gets the dentist for true emergencies
A knocked-out tooth or swelling texts the clinician straight away, after the right safety advice.
Reads forms and cards, never mouths
Patients photograph a referral, an insurance card or an accident claim. It never looks at teeth or symptoms.
Reminds patients
Appointment reminders by text, with an easy reschedule, so fewer chairs sit empty.

Recalls & Claims, built for clinics.

Patients due back, and accident or insurance claims captured on calls. It is sorted by what each call needs from you, most urgent first, and you can ring or text anyone straight from their card. It fills itself from what callers told the receptionist, so nothing is typed in.

When it cannot wait, it gets you.

Your clinical team sets the red flags. Anything serious is told to ring emergency services first.

Urgent by default: Facial swelling; A knocked-out adult tooth; Bleeding that will not stop (after telling them to ring emergency services if it is serious). Aroha texts the owner straight away, rings them if they do not reply, and tells the caller the answer.

Paperwork read, not spelled out

Of forms and cards only: an accident claim, an insurance card or a referral letter, read back so nobody has to spell it out. It never looks at or comments on teeth, a mouth or symptoms.

Works with what you already use.

It does not connect to practice software directly. It takes the booking request with the reason for the visit and sends it to the front desk to confirm, or books new patient slots into its own calendar.

What it costs

Start free. Plans from NZ$79.99 a month, or pay as you go at NZ$0.59 a minute plus NZ$5 a month for a number. Month to month, no contract.

Questions

Will it give clinical advice?

Never. It says plainly that it cannot advise and books them with someone who can. Being asked repeatedly does not change the answer.

What about a real emergency?

Facial swelling towards the eye or neck, difficulty swallowing or breathing, or uncontrolled bleeding stop the booking and point to urgent care.

Does it handle accident claims and insurance?

It captures the claim status and referral source, so the paperwork is ready before the patient arrives.

Does it connect to our practice software?

Not directly. It takes the request with the patient’s details and reason for the visit and sends it to the front desk to confirm, or books new patient slots into its own calendar.

Can patients send a photo?

Of forms and cards only. It never looks at or comments on teeth, a mouth or symptoms.

What does it ask patients?

Only what administration needs: name, contact, reason for the visit, and whether they are new. Review consent, recording and privacy settings before you go live.

Can it reach the clinician after hours?

Yes, for the red flags you choose. It texts first, then rings if nobody replies within the time you set.
