Aroha AI

The nervous enquiry comes in early.

Aroha is an AI receptionist for gyms. Aroha answers your phone, books the trial, and notes any injury for the coach. It books while the caller is on the line, texts the caller and the owner, and gets the owner for urgent jobs. You can talk to Kai at Ironbark Strength, a demo receptionist for a made-up business, free in your browser.

A day of calls, answered.

6:03am, before staff arrive: "Jess wants to try a class after two years off."
Booked the beginner class, noted her old knee reconstruction for the coach.
9:45am, classes running: "A member asks about pausing her membership for a trip."
Explained your freeze policy and sent the request to you with her dates.
12:30pm, pt sessions back to back: "A local business wants a team membership price."
Took the numbers and texted you BIG JOB so you could ring them before lunch ended.
8:10pm, last class: "A member wants to cancel."
Captured the reason and routed it to you, so you get a chance before the membership goes.

It already knows how these calls go.

This is the setup you get on day one, and you can read and change every word of it.

Trials to Members, built for gyms.

Every trial booked, followed up until they join, and cancellations to save. It is sorted by what each call needs from you, most urgent first, and you can ring or text anyone straight from their card. It fills itself from what callers told the receptionist, so nothing is typed in.

When it cannot wait, it gets you.

You set the list. Most gyms want to hear about these straight away.

Urgent by default: An injury at the gym; A membership cancellation; A corporate enquiry. Aroha texts the owner straight away, rings them if they do not reply, and tells the caller the answer.

Cards and clearance letters, read back

Members photograph a membership card, a pass or a medical clearance letter, and it reads the details back. It never looks at or comments on a body or an injury.

Works with what you already use.

It books trials into its own calendar or Google Calendar, or takes the request and sends you the details to confirm in Mindbody, Glofox or your own system.

What it costs

Start free. Plans from NZ$79.99 a month, or pay as you go at NZ$0.59 a minute plus NZ$5 a month for a number. Month to month, no contract.

Questions

Will it give training advice?

No. It records injuries for the coach and never suggests exercises or says whether something is safe for someone.

Will it put a beginner in the wrong class?

No. Someone who has not trained in two years is not booked into the early conditioning session.

What about cancellations?

They go to you with the reason captured, so you get a chance before the membership goes.

Does it work with Mindbody or Glofox?

Not directly. It books trials into its own calendar or Google Calendar, or takes the request and sends you the details to confirm in your system.

Will it answer the lock-in question?

Yes, honestly, from the terms you give it. People ask it before they join, and a straight answer books more trials.

Can members send a photo?

Of cards and letters only: a membership card, a pass or a clearance letter. It never comments on a body or an injury.

Will it follow up trials?

Yes. A trial that has not joined gets a friendly follow-up, and every conversation stays on one timeline.
